Policy for sales quotes of greater than 5 years
All Hitachi Vantara sold products and solutions can only be configured with a maximum 5 year hardware maintenance/software support term in the Salesforce/FPX Sales Configurator. If sales makes a request of Sales Ops or the Global Renewals teams for more than a 5 year initial term, this article should be utilized by renewals teams to verify the current policy and determine if any exceptions exist for a given product.
Please follow this process to request a term greater than 5 years:
- Review the guidance table below.
- If additional approvals are still required, send your request to the EOSL Extensions dlist and please include the following information:
- Prepare and include a business justification for any request for more than 5 years.
- Specify the product names that are being requested (E.g.: VSP 5600 and Data Networks switch(es), etc.), in the email subject line to help with proper routing of the request.
- Include a link to the quote(s), attached the quote export(s) or provide the quote number(s).
- Note: Data Networks 3rd Party products require that the renewals team secure an extended term quote directly from the vendor.
If the above requirements are not provided, we will request the missing information and it will result in a longer lead and/or response time.

HCP Platform Technical Refresh considerations:
The HCP G11 appliance runs on the Hitachi DS220 Server platform and and Nexus 31108 Ethernet switches. The solution hardware components only come with a 5 year max terms, as they are third party sourced. However, as the 5 year term nears, we offer hardware technology refresh options for the servers and switches which allows the customer to extend the life of the HCP G solution for another 5 years minimum. This tech refresh option has allowed HCP customers the flexibility to update their server and switch components to the latest server and switching technologies which can ultimately enhance the software’s performance.
We do not have the capability to sell the technology refresh with the initial sale, however the HCP appliance has endured by offering technical refresh upgrades every 5-6 years which extends the life of the solution.
What happens in Salesforce when an Extended initial term request is approved
The quoting teams manually add the 2.x renewal extension .S and .P codes with a Quantity of one to the sales quote - (see example below). This does not create an associated entitlement record in Salesforce. It is a placeholder so the renewals team knows there is additional x number of months that will need to be added manually by the renewals team after the initial order is sold. The entitlement representing the additional support term will not show up in Salesforce or Servigistics (spare parts management application used by our spares logistics team) until the renewals team manually processes the renewals line items in the sold order.
